WISEmerge offers healthcare facilities a process for identifying duplicate medical record numbers in master patient indices, as well as, an ongoing mechanism for maintaining a duplicate-free MPI.

MPI cleanup is especially important for facilities prior to a system conversion. Record merging can be recorded in the host system or only in the WISEmerge database. In either case, the ultimate result would be a final MPI conversion file with duplicates merged for the new system.

Populating the WISEmerge patient database can be accomplished with a conversion file, a text file with similar data elements, or an extract file from the facility’s medical record system. The WISEmerge database tool then uses a number of search algorithms, each with user-defined weight, to identify potential duplicate medical record entries.

Once the database is loaded, WISEmerge provides a web portal for viewing potential duplicates, flagging true duplicates and indicating which should be the retained medical record number. Users can choose to produce pull lists to streamline the comparison of records that require reviewing the paper chart in order to identify actual duplicates. In addition, record pull lists will be generated to facilitate the physical merging of charts. Pull lists may be sorted according to user preference: by name, terminal digit, or medical record number.

All access to the web application is via secure HTTP (SSL) protocol with 128-bit encryption. In addition, only authorized users for a facility may access that facility’s patient data. In order to expedite MPI cleanup however, access can be granted to appropriate personnel at other facilities or outside contractors as needed.

Users may choose to upload new records to WISEmerge periodically to ensure that new duplicates are not created.

The basic WISEmerge product is easily upgraded by adding a HL7 interface from a facility’s host system to vastly improve the timeliness of catching and merging duplicate medical record numbers before they become duplicate medical records. Also, upgrade WISEmerge by adding a scripting tool to eliminate the manual merging process in the host system, reducing FTE's, and improving efficiency and accuracy.
